Introduction & Purpose

Salesix AI ("Salesix AI", "we", "us", "our") is a technology company that provides backend artificial intelligence and voice automation infrastructure that enables enterprise customers to deploy AI-powered voice agents for customer interaction, workflow automation, and operational support.

Salesix AI's platform allows Enterprise Clients to design, configure, train, and deploy AI voice agents that can speak, listen, and respond to end users based on client-defined workflows, business rules, and instructions. Salesix AI does not independently determine the content of conversations, responses, or business outcomes generated by such AI voice agents.

Our Services: Primarily offered on a business-to-business (B2B) basis and used by Enterprise Clients across industries including healthcare, banking and financial services, utilities, telecommunications, and other customer-facing sectors.

This Privacy Policy explains how Salesix AI processes personal data in the course of providing its technology and services, including when:

  • Website Visits:You visit or interact with the Salesix AI website
  • Business Engagement:You engage with Salesix AI as a customer, prospective customer, partner, or service provider
  • AI Interactions:You interact with AI voice agents deployed by Enterprise Clients using the Salesix AI platform

This Policy is intended to provide transparency regarding Salesix AI's data processing practices and to clearly distinguish Salesix AI's role as a technology service provider from the roles and responsibilities of Enterprise Clients who deploy AI voice agents and directly interact with end users.

Scope of This Policy

This Privacy Policy applies to the processing of personal data by Salesix AI in the following contexts:

  • Website Visitors:Individuals who submit inquiries or requests to Salesix AI
  • Enterprise Clients:Authorized users of the Salesix AI platform
  • End Users:Individuals who interact with AI voice agents deployed by Enterprise Clients using the Salesix AI platform
  • Communications:Individuals who communicate with Salesix AI for sales, onboarding, customer support, or technical assistance

Important Clarification: Where Salesix AI provides services to Enterprise Clients, the Enterprise Client's own privacy policy, terms, and notices govern the relationship between the Enterprise Client and its end users. Salesix AI does not establish a direct legal relationship with end users in such cases and acts solely as a backend technology provider.

Salesix AI does not control, manage, or operate the customer-facing business processes of Enterprise Clients and does not assume responsibility for how Enterprise Clients use AI voice agents in their interactions with end users.

Definitions

For the purposes of this Privacy Policy:

  • Personal Data:Any data about an individual who is identifiable by or in relation to such data, as defined under applicable data protection laws
  • Sensitive Personal Data:Personal data of a sensitive nature, such as health data, financial data, biometric information, or other categories of data subject to enhanced protection under applicable law
  • Voice Data:Audio recordings, voice inputs, call recordings, speech samples, or voice-derived information captured during interactions with AI voice agents, including any transcripts or metadata generated from such interactions
  • Enterprise Client:A business, organization, or entity that subscribes to, deploys, or uses the Salesix AI platform for its own customers, users, or stakeholders
  • End User:An individual who interacts with an AI voice agent deployed by an Enterprise Client using the Salesix AI platform
  • Data Fiduciary & Data Processor:Shall have the meanings assigned to them under the Digital Personal Data Protection Act, 2023
  • Automated Decision-Making:Processing carried out by automated means, including AI-driven logic and workflows, without direct human involvement in each individual interaction

Role of Salesix AI Under Data Protection Laws

Salesix AI's role in relation to personal data depends on the specific context of processing.

4.1 Salesix AI as a Data Processor

In the majority of cases, Salesix AI acts as a Data Processor, processing personal data solely on the documented instructions of Enterprise Clients. In such cases:

  • Enterprise Clients:Act as the Data Fiduciary and determine the purpose, scope, and means of processing
  • Their Responsibility:Providing notices, obtaining consent, and ensuring lawful processing
  • Our Role:Processing personal data strictly to provide contracted technology services

Salesix AI does not independently decide how personal data is collected, what content is exchanged during voice interactions, or how customer issues, complaints, or claims are handled by Enterprise Clients.

4.2 Salesix AI as an Independent Data Fiduciary

Salesix AI acts as an independent Data Fiduciary only where it processes personal data for its own limited and internal purposes, such as:

  • Website Analytics:Analytics and improvement of our website
  • Marketing:Sales and marketing communications with prospective customers
  • Administration:Account administration and billing
  • Compliance:Legal compliance, audits, and security monitoring

In such cases, Salesix AI processes personal data in accordance with applicable law and this Privacy Policy.

Categories of Personal Data Processed

5.1 Data Collected Directly by Salesix AI

Salesix AI may collect the following categories of personal data directly from individuals:

  • Name:Full name of the individual
  • Email Address:Contact email address
  • Phone Number:Contact phone number
  • Professional Details:Company name, designation, and professional details
  • Account Credentials:Account credentials and authentication data
  • Communications:Communications exchanged with Salesix AI
5.2 Voice and Communication Data (Client-Controlled)

When Enterprise Clients deploy AI voice agents using the Salesix AI platform, Salesix AI may process:

  • Voice Recordings:Voice recordings and audio inputs
  • Transcripts:Speech-to-text transcripts
  • Call Metadata:Time, duration, routing, and interaction flow
  • Interaction Logs:Interaction logs and system-generated records
5.3 Technical and Usage Data

Salesix AI may collect technical and usage data such as:

  • IP Addresses:Internet Protocol addresses
  • Device Identifiers:Unique device identifiers
  • Browser Information:Browser type and operating system
  • Log Files:Log files and system diagnostics
  • Cookies:Cookies and similar tracking technologies
5.4 Industry-Specific Data (Determined by Enterprise Clients)

Depending on the use case configured by Enterprise Clients, Salesix AI may process data that includes:

  • Health-Related:Health-related information
  • Financial:Financial or account-related information
  • Utility:Utility or service-related data

Salesix AI does not independently determine the nature or content of data exchanged during voice interactions and does not intentionally solicit sensitive personal data unless such processing is required to deliver services based on Enterprise Client instructions.

Voice Data & AI Processing Disclosure

Salesix AI's platform involves automated AI-driven processing of voice interactions, which may include:

  • Voice Capture:Capturing voice inputs from end users
  • Speech-to-Text:Converting speech into text
  • Intent Analysis:Analysing intent, context, and conversational flow
  • Response Generation:Generating automated responses based on client-defined configurations
  • Workflow Routing:Routing interactions or triggering workflows as instructed by Enterprise Clients

Recording Notice: Voice interactions may be recorded where enabled or configured by Enterprise Clients. Salesix AI does not independently activate or mandate recording of interactions.

Automated processing is used to enable efficient handling of interactions. Human intervention, escalation, or review may occur where configured by the Enterprise Client or required for operational or compliance purposes.

Salesix AI does not authorise AI voice agents to make representations, admissions, commitments, or promises on behalf of Enterprise Clients unless expressly configured and authorised by such clients.

Purposes of Processing & Legal Basis

Salesix AI processes personal data for purposes including:

  • Platform Operations:Providing, operating, and maintaining the Salesix AI platform
  • Client Enablement:Enabling Enterprise Clients to deploy AI voice agents and manage workflows
  • Support:Providing customer support, technical assistance, and troubleshooting
  • Analytics:Conducting analytics, diagnostics, and service improvement
  • Security:Ensuring security, fraud prevention, and system integrity
  • Compliance:Complying with legal, regulatory, and contractual obligations

Legal Bases for Processing:

  • Consent:Obtained by Enterprise Clients where required
  • Contract Performance:Performance of contracts with Enterprise Clients
  • Legitimate Interest:Legitimate uses permitted under applicable law
  • Legal Obligation:Compliance with legal obligations

Salesix AI does not process personal data for purposes that are incompatible with the purposes determined by Enterprise Clients or disclosed in this Privacy Policy.

Consent Framework and Client Responsibilities

When Salesix AI solely acts as a Data Processor on behalf of an Enterprise Client, the Enterprise Client shall be solely responsible for:

  • Lawful Basis:Determining the lawful basis for processing personal data, including obtaining valid, informed, and freely given consent from End Users where required under applicable law
  • Privacy Notices:Providing appropriate privacy notices, disclosures, and consent mechanisms to End Users
  • Transparency:Ensuring that End Users are informed that interactions may involve automated or AI-driven voice agents and may be recorded or processed

Salesix AI does not obtain consent directly from End Users and does not determine the content, scope, or adequacy of consent obtained by Enterprise Clients.

Salesix AI relies on the representations, warranties, and instructions of Enterprise Clients that all personal data shared with or processed through the Salesix AI platform has been lawfully collected and may be processed in accordance with applicable data protection laws.

Where an End User withdraws consent or exercises a right in relation to personal data, such requests shall be addressed by the relevant Enterprise Client. Salesix AI shall, where contractually required and technically feasible, provide reasonable assistance to Enterprise Clients to enable compliance with such requests.

Salesix AI shall not be responsible or liable for any failure by an Enterprise Client to obtain, maintain, or manage valid consent or other lawful bases for processing.

Data Sharing & Disclosure

Salesix AI may disclose or make available personal data solely for legitimate and limited purposes, including to:

  • Enterprise Clients:In connection with the operation of AI voice agents and related workflows
  • Infrastructure Providers:Cloud infrastructure providers, hosting partners, and technology vendors engaged for data storage, processing, or system availability
  • Service Providers:Providers performing support, security, monitoring, analytics, or maintenance functions under contractual confidentiality obligations
  • Authorities:Governmental, regulatory, or law enforcement authorities where disclosure is required by applicable law or legal process

We do not sell personal data and do not use personal data for targeted advertising, behavioral profiling, or unrelated commercial purposes.

All third-party service providers engaged by Salesix AI are subject to contractual obligations consistent with applicable data protection laws, including confidentiality, security, and restricted use of personal data.

Cross-Border Data Transfers

Personal data processed through the Salesix AI platform may be stored, processed, or accessed from locations outside India, depending on the location of infrastructure, service providers, or Enterprise Clients.

Salesix AI ensures that any cross-border transfer of personal data is undertaken in compliance with applicable Indian law and is supported by appropriate safeguards, including:

  • Contractual Protections:Legally binding data processing agreements
  • Security Measures:Technical and organizational security measures
  • Access Controls:Access controls and data minimisation practices

Where required, Salesix AI aligns its practices with internationally recognised data protection principles, including those reflected in the GDPR, to ensure an adequate level of protection for personal data transferred across borders.

Data Retention & Deletion

Salesix AI retains Personal data only for as long as necessary to:

  • Service Delivery:Provide services under applicable agreements
  • Client Instructions:Comply with documented instructions of Enterprise Clients
  • Legal Requirements:Meet legal, regulatory, audit, or security requirements

Retention periods for voice recordings, transcripts, logs, and related data may be configured by Enterprise Clients based on their business and legal requirements.

Upon termination of services or upon documented instruction from an Enterprise Client, Salesix AI shall delete or anonymise personal data within a reasonable period, subject to applicable legal retention obligations and technical limitations relating to system backups and disaster recovery.

Backup data containing Personal data may be retained for limited periods in accordance with Salesix AI's standard backup policies and shall not be actively processed except for restoration or compliance purposes.

Data Security Measures

Salesix AI implements reasonable and appropriate technical and organizational security measures designed to protect Personal data against unauthorized access, alteration, disclosure, or destruction.

Such measures include, where applicable:

  • Encryption:Data encryption at rest and in transit
  • Access Controls:Role-based access controls and authentication mechanisms
  • Monitoring:Monitoring, logging, and audit trails
  • Secure Development:Secure development and deployment practices
  • Incident Response:Incident detection and response procedures

While Salesix AI takes reasonable steps to safeguard personal data, no system can be guaranteed to be completely secure. Salesix AI does not warrant absolute security.

Data Principal Rights

Under applicable data protection laws, individuals may have rights including:

  • Access:The right to access personal data
  • Correction:The right to correction or updating of inaccurate data
  • Erasure:The right to erasure or restriction of processing
  • Grievance Redressal:The right to grievance redressal
  • Nomination:The right to nominate another person to exercise rights

Where Salesix AI acts as a Data Processor, requests from End Users relating to such rights shall be directed to the relevant Enterprise Client. Salesix AI shall provide reasonable assistance to Enterprise Clients, where contractually required, to enable them to respond to such requests in accordance with applicable law.

Children's Data

Salesix AI's services are not designed or intended for use by children.

Salesix AI does not knowingly process personal data relating to children. Where Salesix AI becomes aware that children's personal data has been inadvertently processed, it shall take reasonable steps to delete such data or notify the relevant Enterprise Client.

Enterprise Clients are solely responsible for ensuring compliance with laws relating to children's data where their use cases involve minors or family-linked accounts.

Data Breach Management

Salesix AI maintains internal procedures to identify, assess, and respond to personal data breaches.

Where Salesix AI becomes aware of a personal data breach affecting data processed on behalf of an Enterprise Client, Salesix AI shall notify the Enterprise Client without undue delay and provide reasonable cooperation to support compliance with legal notification obligations.

Salesix AI shall not be responsible for notifying End Users directly unless required by applicable law.

Salesix AI has appointed a Grievance Officer in accordance with applicable law.

Updates to This Policy

Salesix AI may update this Privacy Policy from time to time to reflect changes in legal requirements, business practices, or technological developments.

Updated versions will be made available through appropriate channels. Continued use of Salesix AI services constitutes acceptance of the updated Policy.

Governing Law & Jurisdiction

This Privacy Policy shall be governed by and construed in accordance with the laws of India.

Courts of competent jurisdiction in India shall have exclusive jurisdiction over any disputes arising out of or in connection with this Policy.
